Information clause on personal data processing
In accordance with the Regulation of the European Parliament and of the Council (EU) 2016/679 of 27 April 2016 on the protection of natural persons in regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46 /EC, General Data Protection Regulation, I inform that:
Your personal data will be processed for the purpose of providing translation services.
2.1. Your personal data will be processed to the extent necessary for making an entry in the sworn translator’s register of executed translations in accordance with Article 17. 1 of the Polish Act on the Profession of the Sworn Translator of 25 November 2004, as amended.
The requirement for the customer ordering the translation to provide their forename and surname is specified in Article 17.2.2 of the Act.
The retention period of the register that contains your personal data is not defined in the Act on the Profession of the Sworn Translator. However, it is determined on the basis of tax regulations. Pursuant to Article 70.1 and Article 86.1 of the Polish Tax Ordinance Act, the taxpayer is required to keep tax-related records for 5 years. During a tax inspection, the register may also be subject to revision.
2.2. Your personal data as well as personal data of a third party included in the documents delivered for translation will be processed to the extent necessary for translation purposes only. Examples of such data include, but are not limited to, details provided in birth, marriage, death certificates, notarial deeds, details of parties to an agreement.
These data will be retained until the purpose of processing ceases to apply or a claim limitation period has expired. The data will then be anonymised or removed.
Following the data anonymisation, copies of certain translated texts may be stored for an unlimited time for the purpose of the translator’s professional development and creation of a knowledge base on the grounds of the legitimate interests of the controller.
2.3. Your personal data that must be included on an invoice in compliance with tax regulations will be processed to the extent necessary for accounting purposes and tax settlements.
Such data will be retained for the period defined in tax regulations, which is currently 5 years.
Your personal data may be transferred only to the providers of services necessary for the controller to carry out its business activity, i.e. execution of translations, and such services will include accounting, legal and IT services.
